Terms and Conditions

All bookings are made with Hike Nepal Trek. By booking a trip with us, you agree to be bound by these Terms and Conditions.
A booking is confirmed once we receive your completed booking form along with the required initial deposit per person.
The remaining balance for the trip must be cleared prior to departure or upon arrival in Kathmandu/Pokhara before the start of the trip.

Payments can be made via wire transfer, credit/debit card, or direct online payment through our authorized payment gateways.
Any bank service charges or transaction fees incurred during transfer are the responsibility of the client.

If you need to cancel your trip, you must notify us in writing. Cancellation charges apply based on the timeframe prior to departure:

30 days or more before departure: The initial deposit is non-refundable, but can be transferred to a future trip date.
15 to 29 days before departure: A partial refund may be issued after deducting administrative and pre-booked service costs.
Less than 15 days before departure: No refund will be provided due to pre-arranged permits, hotel bookings, and logistics.

We reserve the right to modify or cancel any itinerary due to unforeseen circumstances such as natural disasters, adverse weather conditions, political instability, flight delays, or health emergencies.
In the event of a cancellation by Hike Nepal Trek prior to departure, you will be offered an alternative trip of equivalent standard or a full refund of payments made to us.
Any extra expense incurred due to delays or itinerary adjustments caused by weather or external factors beyond our control will be the responsibility of the traveler.

Comprehensive travel insurance is mandatory for all clients undertaking treks, tours, or mountaineering activities in Nepal.
Your insurance policy must cover high-altitude trekking (up to the maximum altitude of your chosen trip), emergency medical evacuation (including helicopter rescue), trip cancellation, and personal liability.
Proof of insurance must be provided to Hike Nepal Trek prior to trip departure.

Clients must be in good physical and mental health. You are required to advise us of any pre-existing medical conditions, allergies, or physical limitations at the time of booking.
Our guides reserve the right to stop or modify any client’s itinerary if they deem the client physically or mentally unfit to continue safely.

All travelers must hold a valid passport with at least 6 months of validity remaining from the date of entry into Nepal.
Clients are responsible for obtaining their tourist visa for Nepal (available on arrival or through Nepalese embassies/consulates).
Hike Nepal Trek will arrange necessary trekking permits (e.g., TIMS, Conservation Area Permits, Restricted Area Permits) upon receipt of required passport copies and photos.

Trekking and adventure travel in remote Himalayan regions carry inherent risks, including altitude sickness, harsh weather, landslides, and transport delays.
Clients accept these risks willingly upon booking. Hike Nepal Trek, its guides, and staff are not liable for personal injury, illness, loss or damage to personal property, or flight cancellations beyond our direct control.

Personal information collected during booking will be kept strictly confidential and used solely for trip logistics, permit processing, and internal record-keeping.
